Membership Terms & Conditions

These Terms & Conditions govern the use of Hale Training Club ("HTC", "we", "our" or "us") and apply to all members, guests, visitors, day pass holders, personal trainers and anyone using our facilities.
By purchasing a membership, day pass or entering Hale Training Club, you agree to these Terms & Conditions.
1. Membership
Membership entitles the member to use Hale Training Club facilities during advertised opening hours, subject to these Terms and Conditions.
Membership is personal and non-transferable.
Members must provide accurate personal information when joining and keep their details up to date.
Proof of identity may be requested at any time.
Sharing memberships or allowing another person to use your membership will result in immediate termination without refund.
2. Minimum Age
Members must be at least 16 years old.
Members aged 16 or 17 must have written parental or guardian consent before joining.
Anyone under 18 trains entirely at their own risk.
3. Membership Types
HTC may offer:

Rolling Monthly Membership

Fixed Term Membership

Paid in Full Membership

Corporate Membership
-
Promotional Memberships
The specific terms of each membership are confirmed at the point of purchase.
4. Payments
Membership fees are collected by Standing Order.
Membership fees are payable regardless of attendance.
Failure to use the gym does not remove the obligation to pay.
Any failed payment may incur an administration fee.
Members are responsible for ensuring sufficient funds are available.
Repeated failed payments may result in suspension of membership.
Outstanding balances must be settled before access is restored.
HTC reserves the right to appoint a debt collection agency where payments remain unpaid.
Members will remain liable for any reasonable recovery costs.
5. Membership Price Changes
HTC reserves the right to review membership prices.
Members will receive at least 30 days' notice before any increase takes effect.
6. Cooling-Off Period
Where applicable under UK consumer law, members purchasing online may cancel within the statutory cooling-off period.
If gym facilities have already been used during this period, HTC will deduct a £20 day pass for each use.
7. Freezing Membership
Membership freezes may be granted at the discretion of HTC. management.
A freeze may be approved for:

Injury

Medical reasons
-
Pregnancy
-
Extended travel
-
Exceptional circumstances
Evidence may be requested.
Freeze periods do not automatically extend promotional offers.
8. Membership Cancellation
Rolling memberships may be cancelled by providing the required notice through the official cancellation process.
Notice periods begin from the date the cancellation request is received.
Stopping a standing order does not constitute cancellation.
Members remain liable for payments until cancellation has been processed correctly.
Fixed term memberships cannot normally be cancelled early except where required by law or agreed by HTC.
9. Access
Members must scan their face membership each visit.
Access may only be used by the registered member.
Tailgating or allowing another person into the gym is prohibited.
HTC reserves the right to refuse entry.
10. Opening Hours
Opening hours may change without notice.
HTC may close all or part of the gym for:

Maintenance
-
Equipment installation
-
Cleaning
-
Events
-
Emergency repairs
-
Health and safety reasons
Closures do not automatically entitle members to compensation.
11. Health Declaration
Members confirm they are medically fit to undertake exercise.
If you suffer from any medical condition, you should seek medical advice before training.
Members exercise entirely at their own risk.
HTC staff are not qualified to diagnose injuries or medical conditions.
12. Assumption of Risk
Exercise involves inherent risks including:

Slips
-
Trips
-
Falls
-
Equipment failure
-
Muscle strains
-
Cardiac events
-
Serious injury
Members voluntarily accept these risks.
HTC accepts no responsibility for injuries resulting from misuse of equipment, failure to follow instructions or reckless behaviour.
Nothing within these Terms excludes liability for death or personal injury caused by negligence where such liability cannot legally be excluded.
13. Safety Rules
Members must:

Use equipment correctly.

Follow staff instructions.

Replace all weights after use.

Use collars where appropriate.

Avoid dropping weights unnecessarily.

Report damaged equipment immediately.

Stop using any equipment that appears defective.

Wear appropriate footwear.
-
Train responsibly.
Members must not:

Climb on equipment.
-
Misuse machines.
-
Intentionally damage property.
-
Create hazards for others.
14. Clothing
Appropriate gym clothing must be worn.
Footwear must be clean and suitable for exercise.
The following are prohibited:

Bare feet (except approved classes)
-
Open-toed shoes
-
Sandals
-
Offensive clothing
-
Clothing likely to damage equipment
HTC reserves the right to refuse entry where clothing is inappropriate.
15. Behaviour
Members must behave respectfully towards:

Staff
-
Coaches
-
Contractors
-
Other members
The following are not tolerated:
-
Abuse
-
Harassment
-
Bullying
-
Aggressive behaviour
-
Threatening conduct
-
Discrimination
-
Racism
-
Sexism
-
Intimidation
Immediate termination may occur without refund.
16. Personal Hygiene
Members should maintain good personal hygiene.
Sweat towels are encouraged.
Members must wipe down equipment after use using the cleaning stations provided.
17. Equipment
Equipment remains the property of HTC.
Members must not:

Modify equipment
-
Remove attachments
-
Move large machines
-
Tamper with safety mechanisms
Only staff may carry out repairs.
Machines must only be used for their intended use.
18. Personal Belongings
Members are responsible for all personal belongings.
HTC accepts no responsibility for:

Theft
-
Loss
-
Damage
Lockers are provided for convenience only.
Items left overnight may be removed.
19. Mobile Phones & Photography
Reasonable use of phones is permitted.
Photography and filming must not:

Invade another member's privacy
-
Obstruct walkways
-
Disrupt others
Commercial filming requires prior written permission.
HTC may request recording to stop at any time.
20. Music
Personal headphones must be used.
Portable speakers are prohibited.
21. Food & Drink
Water bottles are encouraged.
Alcohol is prohibited.
Illegal drugs are strictly prohibited.
Members appearing intoxicated will be refused entry.
Glass containers are prohibited within training areas.
22. Smoking & Vaping
Smoking and vaping are prohibited inside the building.
23. Personal Training
Only HTC-approved Personal Trainers may provide coaching within the facility.
Members must not:

Conduct paid coaching
-
Deliver group sessions
-
Advertise fitness services
without written permission.
Unauthorised coaching may result in immediate termination.
24. Guests & Day Passes
Guests must register before entering.
Day passes are non-refundable once used.
Guests must comply with these Terms.
25. CCTV
CCTV operates throughout the premises for:

Crime prevention
-
Safety
-
Security
-
Incident investigation
Footage is handled in accordance with UK data protection legislation.
26. Lost Property
Lost property is retained for a limited period.
Unclaimed items may be donated or disposed of.
27. Damage
Members are liable for any damage caused through negligence or intentional misuse.
HTC reserves the right to recover repair or replacement costs.
28. Suspension & Termination
HTC may suspend or terminate membership immediately where a member:

Breaches these Terms

Fails to pay membership fees

Damages property
-
Shares membership access
-
Behaves aggressively
-
Commits criminal acts
-
Places others at risk
Termination may occur without refund.
29. Liability
To the fullest extent permitted by law, HTC shall not be liable for:

Loss of earnings

Indirect loss
-
Loss of opportunity
-
Damage to personal belongings
-
Temporary equipment unavailability
-
Temporary closure due to maintenance or unforeseen circumstances
Nothing limits liability where it cannot legally be excluded.
30. Data Protection
Personal information is processed in accordance with our Privacy Policy and applicable UK data protection legislation.
Member information will only be used for legitimate business purposes.
31. Emergency Situations
Members must immediately follow staff instructions during:

Fire alarms
-
Medical emergencies
-
Building evacuations
-
Security incidents
Failure to comply may result in membership termination.
32. Amendments
HTC reserves the right to amend these Terms & Conditions at any time.
The latest version will always be available on our website and at reception.
Continued use of the gym constitutes acceptance of any revised Terms.
33. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
Any disputes shall be subject to the jurisdiction of the courts of England and Wales.
Gym Rules
Members agree to:

Re-rack all weights after use.

Return dumbbells to the correct location.

Wipe down equipment after use.

Respect other members.
-
Share equipment fairly during busy periods.

Do not reserve equipment while training elsewhere.

Use safety clips where appropriate.

Do not drop weights unnecessarily.
-
No abusive language.
-
No harassment of members or staff.
-
No excessive shouting or disruptive behaviour.
-
Keep walkways clear.
-
Do not block emergency exits.
-
Wear clean gym clothing.
-
Wear suitable footwear.
-
Use lockers for valuables.
-
Report hazards immediately.
-
Follow staff instructions at all times.
-
Treat the gym as if it were your own.
Failure to comply with these rules may result in suspension or permanent removal from Hale Training Club without refund.
By joining Hale Training Club, you confirm that you have read, understood and agree to these Terms & Conditions.
